Booking Procedures - Important Information
PLEASE NOTE THE FOLLOWING PROCEDURES,
ONCE YOU DECIDE TO CONFIRM A BOOKING FOR OUR VACATION RENTAL PROPERTIES:
- We send you a contract by email (or by fax if you do not have an email address.) We will place a 24-48 hour hold on the property for your dates to provide you time to return the documents via fax or e mail before we release your hold to the general booking staff. After 48 hours all holds are automatically released and a subject property is returned back into the general inventory.
- Please print out the documents, review, complete and fax them back to our office at (808) 923-7523.
- Once we receive the documents, we will process your reservation and finalize your reservation by signing and returning a copy to you via fax. Wire transfer instructions included with each agreement for your convenience of payment. Wire Transfer charges are to be borne by the Tenant or your bank. We also accept MC, VISA, AMEX, & JCB, however, there is an additional 3% convenience fee placed on the charge. All pricing is quoted in U.S. Dollars.
- We will charge a non-refundable 30% of the total cost upon receiving the paperwork, including the refundable security deposit portion of the rental agreement. The balance should be paid 120 days prior to a high-season rental date arrival (high season months are November thru March and June thru August) or 90 days prior to low-season rental date arrival (low season months are April, May, September & October).
- If your arrival date is within the next 90 days, we will charge or require the entire amount upon receiving the signed documents.
- Once your final payment clears, we will email or fax you move-in instructions, which provide the address of the property, phone number, driving directions, if required, from the airport and access information for the rental unit, should it be on lockbox for a late or holiday arrival.
- On the day of your arrival, the property will be ready for you at 3:00 p.m. Generally, an Ohana Beach Rentals (OBR) staff member will be there to greet you and discuss any points of interest or necessity regarding your rental property.
- Hawaii state law requires that no more than one month security deposit be taken and that it must be returned within 14 days of vacating the premises. Each property has its own minimum “out cleaning fee” clearly stated on the primary contract. That minimum cleaning fee will be deducted from the security deposit, and the remainder will be returned either at the time of departure or within the 14 days prescribed by Hawaii state law, assuming there is no damage, or missing items in the rental unit.
- At the time of check-in, an OBR property condition form will be provided to the tenant for completion either at check-in or within 24 hours of arrival. This is for YOUR protection as it gives the tenant the opportunity to clearly notate any visible damages or issues at the beginning of the stay. Almost all of our properties are “owners units” and contain very high-quality furnishings, and decor.
- Ohana Beach Rentals Hawaii is a “DBA” of Distinctive Homes Hawaii LLC, a licensed full-service real estate brokerage and property management company in the state of Hawaii (License # 18815).
EARLY CHECK-IN, OR LATE CHECK-OUT:
We can not approve an early check-in or late check-out until the week before your arrival. Approval will depend on whether there is a scheduled guest in the rental unit prior to or after your stay. If we can approve and arrange the request, the rate will be $100 for up to 2 hours, or a half day rate for over 2 hours.
CANCELLATION POLICY:
If you must cancel the rental after returning the signed rental documents, a refund will only be issued if the house is re-rented to another party for the dates covered by the rental agreement (less $500.00 cancellation fee). Any refund will not exceed the amount that is received for the replacement rental and will not include the $125.00 reservation fee which is also non-refundable. We do offer travel cancellation insurance, which is detailed on our Ohana Beach Rentals Hawaii home page . If you are concerned that you may have a need to cancel, please consider purchasing travel insurance, which costs approximately 7% of the rental amount, to protect your investment in renting any of our properties.

I’m looking for a 4 bedroom in or around kahala for Jan.9-16…hawaii kai or diamond head would work too. Coming in for the Sony…do you have anything available?
We will be having a family birthday first week in august 2012. We would like 2 2/bedroom condos and 2 1/bedroom condos. Do you have anything that would fit. We could maybe do 6 1/bedroom as all the children are over 21,
Hi,I’m looking for an apartment for my daughter and myself to stay for about 10 days in September/October next year.We would like an oceanfront apartment, with unobstructed views, a separate bedroom and full kitchen if possible. We are from Australia, but won’t have a car so would like to have access to buses for trips to Waikiki, supermarkets and shops.Can you please advise if you have such accommodation available?

Thank you for your recent rental inquiry into our Alii Beach Estate & Tropical Oasis rentals for your stay on island this February 17 – 27, 2011. Unfortunately the Alii Beach Estate is booked during those dates, but the Tropical Oasis is available.
The Tropical Oasis is a 4 bedroom 4.5 bath estate in Kahala. It has a large pool and yard with lush tropical landscaping and is one street away from the beach. Each room is like a suite with its own bathroom. It has a gated entrance and is very private.

We are coming to Honolulu for the first time from June 12 – June 15th (three nights). We are looking for a nice condo (we are two adults) with a kitchenette (at least a stove top, microwave and fridge), free wireless access and one bedroom/one bathroom accommodations. Ideally we would like to be very close to the beach, have a pool on site, a gym on site and parking. We do not need to be near the center of all the action in Waikiki as we will likely be exploring the entire island. We love beautiful views and scenery and do not like crowds or nightlife. We would prefer the sound of the ocean to the sound of a busy street. What can you recommend?
